What can AI actually do for a small business?
First, what it is: AI is software that can read and write everyday language — which is why a computer can now help with jobs it never could before. Today, reliably: draft and tidy written work, summarise long documents, answer repeat questions from your own information, and pull details out of emails and forms so nobody retypes them. Think of it as a capable assistant for well-defined steps — not a replacement for your judgement, and not something you switch on across the whole business at once.
What should never go into a chatbot?
Passwords, card details and customers’ personal information have no place in a public AI tool — nor does anything commercially sensitive you wouldn’t email to an outside contractor. When is plain automation better than AI?
When a task follows fixed rules — send the reminder, copy the record, raise the invoice — ordinary automation is faster, cheaper and never has an off day. AI earns its place only where a step needs reading, judgement or writing. Most systems we build are mostly straightforward automation, with AI on the one or two steps that genuinely need it — our automation service shows how that looks in practice.
How do I know if a process is worth automating?
Three signs: it happens often, it follows a pattern you could explain to a new starter, and it eats time or causes mistakes when it’s rushed. Yes — free means free. We built it because most owners want to understand AI before they spend anything on it, and an informed customer is easier to help well. If you take the course and never contact us, that’s a perfectly good outcome.
Do I need a technical background for any of this?
No. Everything here is written in plain English for people who run a business, and jargon is explained the first time it appears. If something still isn’t clear, that’s our fault rather than yours — tell us and we’ll rewrite it.
Is it safe for my staff to use tools like ChatGPT at work?
It can be, with ground rules: keep customer personal data, passwords and payment details out of public tools, and check important answers before acting on them. The Using AI Safely guide puts this in a form you can share with your team, and it’s a sensible first step before any wider AI plans.
