How do I add my signature to Outlook?
In new Outlook / Outlook on the web: Settings → Account → Signatures → paste into the box and save. In classic Outlook: File → Options → Mail → Signatures → New → paste. Click “Copy signature” above first, then paste with Ctrl+V.
How do I add it to Gmail?
Gmail → Settings (gear) → See all settings → General → scroll to Signature → Create new → paste it in, then scroll down and Save Changes.
How do I add it to Apple Mail?
Mail → Settings → Signatures → choose your account → + → paste. Untick “Always match my default message font” so the formatting is kept.
Why does my signature look different in some emails?
Email apps are fussy — that’s why this generator builds signatures the old-school reliable way (tables, inline styles, standard fonts) rather than fancy code that breaks. Keep images out of signatures unless they’re hosted properly, and it’ll look right everywhere.
What should a UK business include in its signature?
Many UK limited companies include the registered company name, company number and registered office in email footers — the “extra line” field is ideal for this. If in doubt, check with your accountant.

How to make a UK business email signature with your company number
This free generator builds an email-safe HTML signature for a UK business, and you add your registered company name, company number and registered office in the 'Extra line' field so they appear in your footer.
Step by step
- Fill in your details — Enter your name, job title, company, phone, email and website in the form — the live preview updates as you type.
- Add your company number in the Extra line — In the 'Extra line' field, type your legal footer, for example 'Registered in England & Wales No. 1234567, [registered office]'.
- Choose a style and colour — Pick the Classic accent-bar or Compact one-line style and set your brand accent colour.
- Copy the signature — Click the copy button to grab the finished, email-safe signature (built with reliable tables and inline styles).

Is there a dedicated company-number field?
Not a separate box — you add your company number using the free-text 'Extra line' field, which is designed exactly for this. Its placeholder even shows the format: 'Registered in England & Wales No. 1234567'.
Where does the Extra line appear in the signature?
It renders as a small grey line at the very bottom of the signature, below your contact details, in both the Classic (accent-bar) and Compact (one-line) styles — the right place for a legal footer that shouldn't dominate.
Can I add my VAT number too?
Yes — the Extra line is free text, so you can include a VAT number alongside the company number if you're VAT-registered. Keep it to one clear line so it renders reliably across email apps.
