How to Use Microsoft Teams (Beginner’s Guide)

Microsoft Teams is where a lot of work chats, calls and meetings now happen — and it’s friendlier than it first looks. Here is a plain-English guide to finding your way around.

Rated 4.9 on GoogleFamily-run since 1995 · real people, no call centre

Teams brings your chats, calls, meetings and shared files into one place. You don’t need to learn all of it — just a few basics get you going.

Chatting and calling

Open Teams and sign in with your Microsoft account. Down the left you’ll find Chat (one-to-one and group messages) and Teams (shared spaces for a group or project). To message someone, click Chat, find their name and type. To call, open the chat and click the camera or phone icon at the top.

Joining meetings

Most meetings arrive as a calendar invite or an emailed link — just click Join at the right time. During a call you can mute yourself with the microphone button, turn your camera on or off, and share your screen so others can see what you see. Those few basics will see you through everyday calls. We set up and support Teams as part of Microsoft 365.

// GOOD QUESTIONS

Frequently asked

Is Microsoft Teams free?

There’s a free version for personal use, and a fuller version included with Microsoft 365 business plans (which can now be bought with or without Teams). We’ll help you pick what fits.

Do I need Teams installed, or can I use a browser?

Both work — the installed app is smoother for regular use, but you can join a meeting straight from a web browser if you prefer.

How do I join a meeting someone sent me?

Click the Join link in the invite or email at the meeting time, choose your camera and microphone settings, then join. It really is that simple.
