New Outlook not syncing emails automatically
If the new Outlook has stopped pulling in emails on its own — or only shows new mail after you close and reopen it — the app's background sync has stalled. Press F9 (or open the View tab and click Sync) to force it, then switch off the offline setting so it holds a live connection to the server. Here is exactly how, and why it happens. The quick answer
Why the new Outlook stops syncing on its own
The new Outlook for Windows is a web-powered app: it needs a constant live connection to Microsoft 365 to trickle new mail into your inbox in the background. When that connection quietly stalls — after your PC wakes from sleep, drops Wi-Fi for a moment, or Windows throttles the app to save battery — the sync simply stops. Nothing looks broken, but no new email arrives until you nudge it. That is why so many people find the new Outlook only shows new mail after a restart: closing and reopening the app forces a fresh connection, which is really just a heavy-handed version of the proper fix below.
The good news is you rarely need to reinstall anything. Ninety-nine times out of a hundred it is one stalled sync and one setting. Work through the steps in order and stop as soon as mail starts flowing.

Step by step
Force a sync and stop it stalling again
Do these in order — most people are fixed by step 2.
- Force an immediate sync. Press F9, or go to the View tab and click Sync (this replaces the old Send/Receive in the new Outlook). New mail should drop in within a few seconds. This proves the connection works — it just was not firing on its own.
- Turn off offline email so it holds a live connection. Go to Settings (the gear, top right) then General then Offline, and turn off the toggle “Enable offline email, calendar, and people.” Offline mode caches a local copy and can leave the app reading stale data instead of the server. With it off, Outlook keeps a live connection and pulls mail as it lands. (Tip: toggle it off, wait ten seconds, then only turn it back on if you genuinely need email with no internet — that also rebuilds the local sync.)
- Confirm the account is Connected. Open Settings then Accounts then Email accounts and check your account status. If it shows it needs attention or is disconnected, click it and sign in again.
- Restart the app cleanly. Fully close Outlook and reopen it, then press F9 once more. This clears a stuck session.
If it keeps happening
When a stall keeps coming back
If mail flows after F9 but the new Outlook keeps drifting back to sleep every hour, the sync state or the account sign-in has become unreliable. Two dependable fixes:
- Remove and re-add the account. In Settings then Accounts, remove the account, then add it back and sign in fresh. Your mailbox lives on Microsoft's servers, so nothing is deleted — everything re-downloads once it reconnects.
- Switch back to classic Outlook. Toggle off the “New Outlook” switch at the top-right of the window to drop back to the classic app, which has a proper scheduled Send/Receive and syncs far more reliably for many people. Classic Outlook is supported into 2029, so it is a perfectly good place to stay until the new Outlook matures.
A quick honest note: unlike classic Outlook, the new Outlook does not give you a “sync every 10 minutes” scheduler you can rely on — background sync is meant to be automatic, which is exactly why a stall is so noticeable. If none of the above holds, that is the point to let us take a proper look.

// GOOD QUESTIONS
Frequently asked
Why does the new Outlook only show new emails after I restart it?
Because restarting forces a fresh connection to the server. The background sync had stalled — closing and reopening simply kick-starts it. The proper fix is to press F9 (or View > Sync) to sync on demand and turn off Settings > General > Offline > “Enable offline email” so the app keeps a live connection instead of reading a stale local cache.
What does F9 do in the new Outlook?
F9 forces an immediate sync — it pulls down any mail waiting on the server right away. You can also do it from the View tab by clicking Sync, which replaces the old Send/Receive button. If F9 brings mail in, your connection is fine; the app just was not syncing automatically, which the offline-email fix usually cures.
Should I turn off “Enable offline email” in the new Outlook?
If your sync keeps stalling, yes. Offline email caches a local copy and can leave Outlook showing stale data. Turning it off (Settings > General > Offline) makes the app hold a live server connection so new mail arrives as it lands. Only leave it on if you specifically need to read email with no internet.
How do I check my account is connected in the new Outlook?
Open Settings > Accounts > Email accounts and look at the status under your address. If it says it needs attention or is disconnected, click the account and sign in again — a lapsed sign-in is a common reason mail stops arriving.
Can I go back to classic Outlook if the new one won't sync?
Yes. Toggle off the “New Outlook” switch at the top right of the window and you drop back to classic Outlook, which has a reliable scheduled Send/Receive. Your mail and settings are untouched, and classic Outlook is supported into 2029. Many people stay on classic for exactly this reason, and we are happy to set it up properly for you.
