New Outlook search not working or returning nothing?
In the new Outlook, search runs on Microsoft's servers, not on your PC, so it can only find mail that has actually synced to the app. If older emails are missing from results or search comes back empty, the usual cause is too little mail synced offline, a leftover filter, or an account that has dropped offline. Here is the accurate fix, and if it still misbehaves we will sort it remotely in minutes. Rated 4.9 on Google.

Why it happens
Why new Outlook search behaves differently
The new Outlook, the redesigned app that replaced Mail and is gradually replacing the classic desktop program, works very differently under the bonnet. Classic Outlook builds a search index on your own PC. The new Outlook does not. Instead it asks Microsoft's servers to run the search, which is why it feels more like searching Outlook on the web than searching a program on your computer.
That single difference explains almost every "search not working" complaint. Server-side search can only return mail the app knows about, and by default the new Outlook only keeps a limited window of recent email synced for offline use. If the message you want is older than that window, or your account has quietly dropped offline, the search never gets a clean run at it and you see partial results or nothing at all.
The good news is that there is no index to rebuild and nothing to reinstall. The fixes are all about widening the sync window, clearing anything narrowing your search, and making sure the account is properly connected.

The fix
How to fix search in the new Outlook
Do these inside the new Outlook app. None of them delete any email, because in the new Outlook your mail lives on Microsoft's servers and the app simply syncs a copy.
- Widen "Days of email to save" and let it sync. Go to Settings > General > Offline and, under Days of email to save, choose a wider window. The default is only 30 days; the standard choices are 7, 30, 90 or 180 days, and Microsoft is rolling out even longer windows (up to a year or two) to some accounts. Pick the largest option your app offers, then leave the app open and connected so it can pull that older mail down. This is the single most common fix, because search can only find what has synced.
- Clear any filter chips left in the search box. The new Outlook often leaves little filter tags, such as From, Has attachments, or a date, sitting in the search bar from a previous search. Those silently limit what comes back. Click the X on each chip, or clear the search box completely, then run your search again.
- Turn on "Include deleted items". By default the app leaves out the Deleted Items folder. Go to Settings > General > Search and, under Search results, tick Include deleted items, then Save, so recently deleted mail is included in your results.
- Make sure the account shows Connected. Because search is server-side, an offline account cannot search properly. Check the status shown at the bottom or top of the window. If it says Working Offline, Disconnected or Trying to connect, restore your internet connection and let it return to Connected, then search again.
- Sign out and back in, or use Outlook on the web. If it is still broken, remove the account and re-add it (or sign out of the app and back in) to force a clean re-sync. As an instant workaround, open outlook.com or your Microsoft 365 webmail in a browser, where the same server-side search covers your whole mailbox with no sync-window limit and confirms your mail is safely there.
If search still comes back empty after all that, the account may have a sync or provisioning fault behind it, which we can diagnose and clear remotely without you losing any email.

// GOOD QUESTIONS
Frequently asked
Why can't the new Outlook find older emails I know exist?
Because the new Outlook searches Microsoft's servers but the app only keeps a limited window of mail synced offline, and by default that window is just 30 days. Anything older than your sync window can be missed. Go to Settings > General > Offline and raise Days of email to save to the largest option your app offers (the standard maximum is 180 days, though Microsoft is rolling out longer windows to some accounts), then let the app finish syncing and search again. The emails are not lost, the app simply had not pulled them down yet.
Where is "Days of email to save" in the new Outlook?
Open Settings (the gear icon), then General, then Offline. Under Days of email to save you can choose 7, 30, 90 or 180 days, with 30 the default; Microsoft is also rolling out longer options (up to a year or two) to some accounts, so pick the widest your app shows. If you routinely need to search email older than your offline window, Outlook on the web has no such limit because it searches everything on the server directly.
My search returns nothing at all. What is the first thing to check?
Check for leftover filter chips in the search box and confirm the account shows Connected. A stray From or date filter tag, or an account stuck Working Offline, is the usual reason search comes back completely empty. Clear the search box, restore your connection, then try once more. If it is still blank, sign out and back in to force a fresh sync.
Is there a search index to rebuild like in classic Outlook?
No. That is the key difference. Classic Outlook uses a local Windows Search index that you can rebuild, but the new Outlook searches on the server, so there is nothing on your PC to rebuild. If you have been told to rebuild the index and your app looks like the new stripped-back Outlook, you were following classic instructions by mistake. The fixes here are the right ones for the new app.
Does using Outlook on the web prove my email is safe?
Yes. Because the web version searches the same server-side mailbox with no offline limit, if a message shows up at outlook.com or your Microsoft 365 webmail then it is safely stored on the server and the problem is only with syncing it into the app. That is reassuring, and it means the fix is about the app's sync settings rather than any risk of lost mail.
