OneDrive, SharePoint and Teams Explained

OneDrive, SharePoint and Teams overlap enough to be confusing. Here is a plain-English guide to what each is for.

These three Microsoft 365 tools work together, but each has a clear job once you know the difference.

OneDrive vs SharePoint

OneDrive is your personal work drive — files only you need. SharePoint is shared team storage — documents the whole team or business works on. Saving shared files in SharePoint, not personal OneDrive, avoids losing access when someone leaves.

Where Teams fits

Teams is the front door for chat, calls and meetings — and it actually stores its shared files in SharePoint behind the scenes. Used well together, they keep your team organised and your files in the right place.

Key points

  • OneDrive = your personal work files
  • SharePoint = shared team and business files
  • Teams = chat, calls and meetings
  • Keep shared files in SharePoint, not personal OneDrive
