Outlook calendar not syncing with your phone

If your Outlook calendar shows different appointments on your PC than on your Android phone, it's almost always because the two devices aren't looking at the same calendar — or calendar sync is switched off in the Outlook app. Here's how to fix it in a few minutes. Rated 4.9 on Google.

The real cause

Why your calendar won't sync to your phone

Nine times out of ten this comes down to which calendar the appointment actually lives in. A calendar stored in a Microsoft 365 or Exchange account lives on Microsoft's servers, so it syncs everywhere automatically — your PC, the Outlook app on your Android phone, Outlook on the web, the lot. But a calendar stored in a local PST file on your PC only exists on that one computer. It has nowhere to sync from, so it will never appear on your phone no matter how long you wait.

The other common culprit is simply that calendar sync is turned off in the Outlook app on your phone, or Android's own privacy settings are blocking Outlook from touching your calendar. And very often an account that was added as POP or IMAP (a mail-only setup) will happily sync email but silently drop calendars and contacts — because POP and IMAP are email-only protocols that don't carry calendar data at all. If that's the case the fix is to remove the account and add it back as a Microsoft 365 / Exchange (modern authentication) account.

So before you start deleting things, the first job is to work out which of those three situations you're in.

The quick checks that fix most cases

Start on your PC. In the folder list down the left of Outlook, click the calendar icon and look at the calendar headings. If you see your appointments under a Microsoft 365 or Exchange account name, good — that will sync. If they're under something like "Personal Folders" or an .pst file, that calendar is local and needs moving to your account calendar before it can ever reach your phone. We can migrate those appointments across for you without losing a thing.

Now the phone. In the Outlook Android app, tap your profile picture (top-left) > the gear icon for Settings > tap your email account > make sure Sync Calendars is switched on. (If that toggle is greyed out and won't turn on, the account was added as IMAP or POP — remove it and re-add it as a Microsoft 365 / Exchange account.) Then leave Outlook and open Android's own Settings > Apps > Outlook > Permissions and set both Calendar and Contacts to Allow. Give it a minute and the appointments should flow through.

Why does my Outlook calendar sync email but not appointments to my phone?

That's the classic sign your phone added the account as POP or IMAP, which are email-only protocols and don't carry calendars or contacts. Remove the account from the Outlook app and add it back using the Microsoft 365 / Exchange (modern authentication) option, and the calendar will start syncing. Alternatively, an appointment stored in a local PST on your PC will also fail to reach the phone because it never leaves the PC.

Do I need Microsoft 365 or Exchange for my calendar to sync everywhere?

Effectively yes. A Microsoft 365 or Exchange calendar lives on Microsoft's servers, so it appears automatically on your PC, your phone and the web. A calendar kept in a local PST file has nowhere to sync from, so it will only ever show on the one PC it was created on.

I turned on Sync Calendars but nothing changed — what now?

Two things to try. First, check Android's own permissions: Settings > Apps > Outlook > Permissions and set both Calendar and Contacts to Allow. Second, in the Outlook app tap your account and scroll to the bottom to choose Reset Account, which refreshes the connection to the server. If it's a shared or M365 calendar on the desktop that's stuck, removing and re-adding the account on the PC usually clears it.

Am I looking at the wrong calendar?

Very possibly. If you have several calendars (a personal one, a work M365 one, maybe a shared one), your phone may be showing a different calendar from your PC. Tap the calendar view options in the Outlook app and make sure the account calendar you actually book into is ticked, and that you're not viewing a separate local calendar by mistake.

Will fixing this delete any of my appointments?

No. Turning calendar sync on, resetting the account, or re-adding it as Exchange doesn't delete anything — your appointments live safely on Microsoft's servers and simply re-download to the device. The only calendars that need care are local PST ones, which we copy across to your account calendar before making any changes.
