Can't add an account to new Outlook?
The new Outlook for Windows only supports third-party mail like Gmail, Yahoo and other IMAP hosts over IMAP, and it insists on a modern sign-in. Why it happens
Why new Outlook rejects your account
The new Outlook for Windows is a very different app from the classic desktop version, and it changed the rules for non-Microsoft email. Two things trip people up:
- It's IMAP-only for third-party mail. If you're adding Gmail, Yahoo, or an account from your web host, new Outlook connects over IMAP. There's no working manual POP option - even where a POP field appears in the advanced setup screen it doesn't actually connect - and there's no full manual server screen like the old Outlook had.
- It requires a modern sign-in. Just typing your normal password often isn't enough. If your provider uses OAuth, new Outlook expects to open the provider's own sign-in page; if it uses a password box and you have two-step verification switched on, it needs an app password rather than your everyday password.
When those expectations aren't met you'll see errors like "Invalid credentials", "Interaction required", or the account simply bounces back to the add screen. None of it means your password is wrong - it usually means the account isn't set up the way new Outlook wants to talk to it.

How to add your account to new Outlook
- Make sure IMAP is on at your provider. Sign in to your email on the web and check IMAP access. Personal Gmail no longer has an on/off switch - IMAP is always on since early 2025, so there's nothing to enable there - but Yahoo and some web hosts still have an IMAP toggle you may need to turn on. If IMAP is switched off, new Outlook has nothing to connect to.
- Use the normal sign-in, not manual setup. In Outlook go to Settings, then Accounts, then Email accounts, and choose Add account. Type your email address and let it open your provider's own sign-in page. Avoid forcing IMAP or "advanced setup", because that path is what triggers the fiddly app-password prompts.
- Create an app password if you use two-step verification. If your account has 2-step verification (very common on Gmail and Yahoo), your ordinary password will be refused. Generate a 16-character app password in your provider's security settings and paste that into Outlook instead. An app password only exists once 2-step verification is turned on.
- Check for a work or school policy. If this is a company laptop, an IT policy in Microsoft 365 can quietly block personal accounts from being added. If you hit a wall on a managed device, that's the likely cause - your IT administrator has to allow it.
- Make sure Outlook is fully updated. Some early add-account bugs in new Outlook have already been fixed, so install the latest update, restart, and try once more.
- Still stuck? Use classic Outlook. If a provider simply refuses to add, classic Outlook still has full manual POP and IMAP setup where you can type in server names and ports by hand. See the FAQ below for the standard IMAP ports.

Why does new Outlook only offer IMAP and not POP?
The new Outlook for Windows was rebuilt around IMAP for third-party mail, so it has no working POP option - even where a POP choice appears in the advanced setup screen it doesn't actually connect. If you specifically need POP - for example to keep a local copy and remove mail from the server - you'll need the classic Outlook desktop app, which still has full, working manual POP and IMAP setup.
What is an app password and when do I need one?
An app password is a 16-character one-off code your email provider generates so an app can sign in when two-step verification is switched on. If your Gmail or Yahoo account has 2-step verification, your everyday password won't work in Outlook - you generate an app password in the provider's security settings and paste that in instead. App passwords only appear as an option once 2-step verification is enabled.
What are the correct IMAP ports if I have to set it up manually?
For a manual setup in classic Outlook, incoming IMAP is port 993 with SSL/TLS, and outgoing SMTP is port 587 with STARTTLS (some hosts also allow 465 with SSL/TLS). Always check your provider's current documentation, as a few hosts use their own values.
I'm on my work laptop and it won't add my personal Gmail. Why?
On a company-managed device, a Microsoft 365 admin policy can block personal accounts from being added to Outlook. This is a deliberate security setting, not a fault. Your IT administrator would need to change the policy - it's not something you can override from the app.
It keeps saying 'invalid credentials' even though my password is right.
That message almost always means Outlook needs a modern sign-in rather than your typed password. Remove the half-added account, restart Outlook, add it again and let the provider's own sign-in page open. If your account uses two-step verification, use an app password instead of your normal one.
