"Outlook needs to repair your profile" - here's the reliable fix

Seeing "Outlook needs to repair your profile", or "the information store could not be opened"? The built-in repair can work, but it sometimes demands a huge amount of free disk. The more dependable route is a fresh mail profile via Control Panel. For Microsoft 365 and IMAP accounts your mail re-downloads from the server, so nothing is lost. Before you start

Should you let the built-in repair run?

When classic Outlook offers to repair the profile, it's telling you the profile - the settings-and-cache bundle that points at your mailbox - has gone wrong. The built-in repair can fix it, but only if you have plenty of free disk space. On a large mailbox it can ask for 20GB or more of headroom - we've seen it demand 60GB and beyond - and if it can't get it the repair stalls or fails halfway.

So the quick check is: how full is your C: drive? If you've got tens of gigabytes free, letting the built-in repair try is reasonable. If your drive is tight, skip it - a repair that runs out of space mid-way can leave the profile in a worse state. The cleaner, more reliable route in almost every case is to build a fresh mail profile from scratch, which is quick and doesn't touch your server-side mail.

The reliable fix

Create a clean new mail profile (the dependable route)

A brand-new profile sidesteps the corruption entirely. For Microsoft 365, Exchange, Outlook.com and IMAP accounts, all your mail lives on the server and simply re-downloads into the new profile - you lose nothing.

  1. Close Outlook.
  2. Open the Mail control panel. Press the Windows key, type Control Panel, open it, set View by to large or small icons, and click Mail (Microsoft Outlook). (If you don't see it, search Control Panel for "Mail". The Mail icon only appears once classic Outlook is installed and has been opened at least once.)
  3. Show Profiles. Click Show Profiles. You'll see your existing, misbehaving profile listed.
  4. Add a new one. Click Add, give it a clear name like Outlook2026, and click OK. Enter your name, email address and password when prompted, and let it set the account up automatically. For a Microsoft 365 or Outlook.com account, the modern sign-in window (and any two-factor prompt) opens as part of this - complete it there.
  5. Make it the default. Back on the profiles list, choose Always use this profile and pick your new one from the drop-down, then Apply. Leave the old profile in place for now as a fallback.
  6. Open Outlook. It starts on the fresh profile and re-downloads your mail, calendar and contacts from the server. If the modern sign-in didn't fully complete during setup, Outlook finishes it here - just sign in when asked. Once you're happy everything's there, you can remove the old profile.

One caution: if you had an old local POP account whose mail only ever existed on this PC, that mail sits in a local PST and won't magically reappear from a server. Back that PST up first and re-attach it to the new profile via File > Open & Export > Open Outlook Data File.

If you see "the information store could not be opened"

This is the same family of problem but has two extra quick fixes worth trying before you rebuild the profile:

  1. Reset the navigation pane. A corrupted nav pane is a classic cause. Close Outlook, press Windows + R, type outlook.exe /resetnavpane and press Enter. This often clears the "information store could not be opened" and "the set of folders cannot be opened" errors on its own.
  2. Close Teams or Skype first. If Microsoft Teams or Skype for Business launches Outlook before Outlook is ready, it can trip this error. Right-click Teams/Skype in the taskbar or system tray, choose Quit/Exit, then open Outlook directly.
  3. Still stuck? Fall back to the clean-profile steps above - that resolves the stubborn cases.

Not for Microsoft 365, Exchange, Outlook.com or IMAP accounts - all your mail lives on the server and re-downloads into the fresh profile, so you lose nothing. Should I just let Outlook's built-in repair run instead?

What does "the information store could not be opened" mean?

It's Outlook saying it can't open the mailbox the profile points at, usually from a corrupted navigation pane, a bad profile, or another app (like Teams or Skype) launching Outlook too early. Try outlook.exe /resetnavpane and closing Teams/Skype first; if that doesn't clear it, build a fresh profile.

How do I open the Mail control panel in Windows 11?

Press the Windows key, type Control Panel and open it, switch View by to large or small icons, then click Mail (Microsoft Outlook). If it isn't listed, type "Mail" into the Control Panel search box. This classic Mail applet only exists when classic Outlook is installed and has been opened at least once - it isn't part of the new Outlook.

Does this work for new Outlook?
