Outlook not syncing on your Android phone

If new emails only appear when you open the Outlook app on your Android phone, the culprit is almost always Android's battery optimisation quietly putting Outlook to sleep in the background. Set Outlook to "Unrestricted" under Settings > Apps > Outlook > Battery, allow unrestricted background data, and stop swiping the app closed — then, inside Outlook, reset the account and clear the cache. Why Android stops Outlook syncing in the background

To save battery, Android aggressively "optimises" apps it thinks you're not using — pausing them in the background so they can't check for new mail. Outlook is a common victim: it looks idle, Android sends it to sleep, and so new emails don't land until you actually open the app and it wakes up to sync. On top of that, Data Saver and per-app background-data limits can block Outlook from using the internet in the background at all.

There's also a habit that makes it worse: force-closing Outlook by swiping it out of your recent apps. On many Android phones that's read as "don't run this again until I open it", which switches off background syncing entirely. The fixes below undo all of that. None of them delete your mail — everything re-downloads from the server, so your inbox is safe.

The fix

Step-by-step: get Outlook syncing on Android again

  1. Stop Android sleeping the app. Go to Settings > Apps > Outlook > Battery (on some phones it's App battery usage or Battery usage) and set it to Unrestricted (or "Don't optimise"). This is the single most important step.
  2. Allow background data. In Settings > Apps > Outlook > Mobile data & Wi-Fi (wording varies by phone), turn on Background data and Allow data usage while Data Saver is on so Outlook can sync even when Data Saver is active.
  3. Stop force-closing it. Don't swipe Outlook away in the recent-apps view — leave it running in the background so it can keep checking for mail.
  4. Update Outlook and Android. Open the Google Play Store and update Outlook, and check Settings > System > Software update for any Android update. Sync bugs are often fixed in newer versions.
  5. Reset the account inside Outlook. In the app, tap your profile icon (top-left) > the gear/Settings icon > tap your email account > Reset Account. This forces a clean handshake with the mail server and clears the cache. Your mail re-downloads afterwards — nothing is lost.
  6. Check notifications and sync settings. While you're in Settings, make sure notifications for the account are set to All, and that mail (and calendar/contacts if you use them) are set to sync.
  7. Still stuck? Remove and re-add the account. As a last resort, in Outlook's account settings choose Delete Account, then sign back in with your email and password. A fresh sign-in rebuilds the connection. Your mail lives on the server, so it comes straight back — just make sure you know your password (and any 2-factor code) first.
