Classic Outlook is not syncing your emails

Why this happens
Usually Work Offline — sometimes a stale local cache
If new messages are landing in your webmail or on your phone but classic Outlook on your PC sits there stubbornly out of date, the account itself is working perfectly — the desktop app just isn't pulling the new mail down. The single most common reason is that Outlook has been switched to Work Offline mode, often by an accidental click. In that mode Outlook deliberately stops talking to the server, so nothing new arrives.
The next most common cause is the local cache. Classic Outlook keeps an offline copy of your mailbox in a file called an OST (using Cached Exchange Mode). This makes Outlook fast, but if that cache gets out of step with the server, folders can stop updating even though the connection is fine. The good news: the OST is only a copy. It can always be rebuilt from the server, so nothing is ever lost by refreshing it.
Quick check first: open your mailbox in a web browser. If the missing emails are there, your account is healthy and this is purely a desktop-sync issue — exactly what the steps below fix.

The fix
From a one-click toggle to a full rebuild
Start at the top — most people are fixed by step 2. Work down only if needed. None of these steps lose mail; your messages live on the server.
- Turn off Work Offline. Click the Send / Receive tab on the ribbon and look at the Work Offline button on the right. If it's highlighted (lit up), click it once to turn it off. The status bar at the bottom of Outlook should change from "Working Offline" to Connected.
- Force a send and receive. On the same Send / Receive tab, click Send/Receive All Folders — or just press F9. Give it a moment and your missing emails should pour in.
- Confirm the mail is on the server. If nothing arrives, open your mailbox in a web browser. If the emails aren't there either, it's a mail-flow issue rather than a sync one — call us and we'll trace it.
- Repair the account. Go to File > Account Settings > Account Settings, click the Email tab, select your account, and click Repair. Follow the prompts and let Outlook restart. This re-checks your server settings and often restores syncing on its own.
- Rebuild the local cache (OST). If it still lags, toggle Cached Exchange Mode off and back on. Go to File > Account Settings > Account Settings > Email, select your account and click Change. Under Offline Settings, untick Use Cached Exchange Mode, click Next/OK and restart Outlook — then come back to the same screen, re-tick it and restart again. Outlook builds a fresh OST and re-downloads everything from the server. Nothing is lost — the rebuild simply refreshes the local copy of mail that already lives on the server.

Why is Outlook not syncing new emails on my PC when they're on my phone?
Because the desktop app isn't pulling mail from the server, even though the account is fine. The usual reason is Outlook being in Work Offline mode. Turn Work Offline off on the Send/Receive tab and press F9 to force a sync — that fixes it most of the time.
What does pressing F9 do in Outlook?
F9 triggers Send/Receive All Folders — it tells Outlook to connect to the server right now and pull down any new mail while sending anything waiting in your Outbox. It's the quickest way to force a stuck mailbox to update.
Will rebuilding the OST or turning off Cached Exchange Mode delete my emails?
No. The OST is only a local copy of a mailbox that lives on the server. When you rebuild it, Outlook re-downloads everything fresh from the server, so nothing is lost. It's a safe way to clear a stale or corrupted local cache.
How do I repair my email account in classic Outlook?
Go to File > Account Settings > Account Settings, click the Email tab, select your account and click Repair. Outlook re-checks your server settings and restarts. This often restores syncing without any further steps.
