Outlook Out of Office not working or greyed out
If the Automatic Replies (Out of Office) button in Outlook is greyed out or missing, it's almost always because your account is a POP or IMAP account — and that type simply doesn't have the feature. Here's how to tell, and what to use instead. Rated 4.9 on Google.

The real cause
Why the Out of Office button is greyed out
Outlook's Automatic Replies feature (the proper "Out of Office") isn't part of Outlook the program — it's a service that runs on the mail server. That means it only exists on Microsoft 365 and Exchange accounts, because those are the accounts with a server clever enough to reply on your behalf while you're away.
If your Outlook is set up with a POP or IMAP account — which covers most standard broadband, Gmail-via-IMAP and web-host mailboxes — there is no such server feature, so Outlook greys the button out or hides it entirely. It's not broken and there's nothing to repair; the option simply isn't available for that account type. The fix is either to set your out-of-office in a way that does work for your account, or to move onto a Microsoft 365 mailbox that has the feature built in.
One quick way to check in classic Outlook: click File at the top-left. If you see Automatic Replies (Out of Office), you're on Exchange/365. If that option isn't there, you're on POP/IMAP. In the new Outlook for Windows there's no File menu — instead click the gear (Settings) icon > Accounts > Automatic replies; if it says the account doesn't support it, that again means POP/IMAP.

How to set your out-of-office the right way
If you're on Microsoft 365 or Exchange (classic Outlook): go to File > Automatic Replies, choose Send automatic replies, and tick Only send during this time range to set your dates so it switches itself on and off. Write your inside-the-office message, then — this is the bit people miss — click the Outside My Organization tab and tick Send replies outside my organization so customers and suppliers get a reply too. In the new Outlook for Windows the same thing lives under the gear (Settings) > Accounts > Automatic replies toggle. You can also do all of this from Outlook on the web (Settings > Account > Automatic replies), which is handy if you're away from your PC.
If you're on POP or IMAP: you won't have the button, but you have three good alternatives. You can build a reply template and an Outlook rule in classic Outlook to send it to everyone who emails you (Outlook must stay open on your PC for this). You can set a vacation reply on your mail provider's website, which many web hosts and Gmail/Outlook.com offer. Or you can move to a Microsoft 365 mailbox — which we can set up for you — and get the real thing.

Why is the Automatic Replies button greyed out in my Outlook?
Because your account is a POP or IMAP account, and that type doesn't include the Out of Office feature. Automatic Replies is a server-side service that only Microsoft 365 and Exchange accounts have. It's not a fault — the option simply isn't available for POP/IMAP, so Outlook greys it out or hides it.
How do I know if I'm on Exchange/365 or POP/IMAP?
In classic Outlook, click File. If you see 'Automatic Replies (Out of Office)', you're on Microsoft 365 or Exchange; if it isn't there, your account is POP or IMAP. How can I set an out-of-office without Exchange?
You have three options. In classic Outlook, create an email template plus a rule that replies to incoming mail (your PC must stay on and Outlook open). Set a 'vacation' or 'auto-reply' on your mail provider's website — most web hosts, Gmail and Outlook.com offer this. Or move to a Microsoft 365 mailbox, which has proper Automatic Replies built in.
I'm on 365 but external senders don't get my reply — why?
By default Outlook can auto-reply only to people inside your own organisation. In classic Outlook go to File > Automatic Replies, click the 'Outside My Organization' tab and tick 'Send replies outside my organization', then write a message there too (in new Outlook and on the web there's an equivalent external-replies option). If it's still blocked, a tenant mail-flow rule set by your admin can suppress external replies — we can check that for you.
My Out of Office won't turn off — what's wrong?
Usually the date range is still active. In File > Automatic Replies (or the gear > Accounts > Automatic replies in new Outlook), either untick 'Only send during this time range' or select 'Do not send automatic replies'. If you set it via a rule instead, disable that rule in Rules and Alerts. If it's also set in Outlook on the web, turn it off there as well so the two don't fight.
