Outlook search greyed out or not working

The quick answer

Two things break Outlook search most often

Before you rebuild anything, check the two culprits behind most greyed-out or dead searches in classic Outlook on Windows:

  1. The Windows Search service has stopped. Classic Outlook borrows Windows' own search engine to index your mail. If that service isn't running, search greys out. Press Windows key + R, type services.msc and press Enter. Scroll to Windows Search, right-click it and choose Start. Double-click it and set Startup type to Automatic so it starts every boot.
  2. You're running Outlook as administrator. This one catches people out: Instant Search does not work when Outlook is launched with administrator rights. Close Outlook, then open it by clicking its normal icon (not right-click > Run as administrator). If you pinned an admin shortcut, check its Properties > Compatibility tab and untick Run this program as an administrator.

Fix those two and search often springs straight back. If it's working but missing recent emails, the index needs rebuilding - see below.

When search works but finds nothing

Rebuild the search index the right way

If search runs but returns partial or no results, the index is incomplete or corrupt. Rebuilding it re-catalogues every email. This can take a while on a big mailbox - anything from a few minutes to a couple of hours - but it runs in the background, so you can keep using your PC while it catches up:

  1. In Outlook, go to File > Options > Search.
  2. Click Indexing Options, then Advanced.
  3. Under Troubleshooting, click Rebuild and confirm. Windows now re-indexes from scratch in the background.
  4. While you're in Indexing Options, click Modify and make sure Microsoft Outlook is ticked as an included location. If it isn't, search will never find your mail.
  5. Give it time to settle. Search may be patchy for an hour or two while it catches up - that's normal, and you don't need to leave Outlook open for it to finish.

Still greyed out? Run an Office repair: right-click Start > Installed apps (or Apps & features) > find Microsoft Office / Microsoft 365 > Modify > Quick Repair. If Quick Repair doesn't do it, try Online Repair. None of this deletes your emails - on Exchange, 365 or IMAP they re-sync from the server afterwards.

Why is my Outlook search box greyed out?

The most common cause is the Windows Search service being stopped or disabled - classic Outlook relies on it to index your mail. Start it via services.msc (find Windows Search, right-click, Start) and set it to Automatic. The other frequent culprit is running Outlook as administrator, which disables Instant Search entirely.

Does running Outlook as administrator really break search?

Yes. Microsoft's Instant Search is not available when Outlook runs with administrator permissions - the search box greys out. Always open Outlook normally, not via Run as administrator, and remove any admin flag from its shortcut under Properties > Compatibility.

How long does rebuilding the Outlook search index take?

It depends on how much mail you have - anywhere from a few minutes to a couple of hours on a large mailbox. It runs in the background, so you can carry on using your PC and Outlook while it works. Search results will be incomplete until it catches up, which is normal.

Search still doesn't work after I rebuilt the index - now what?

Confirm Microsoft Outlook is ticked as an indexed location (Indexing Options > Modify), then run an Office Quick Repair, and Online Repair if that fails. If it's still broken, the profile or data file may be corrupt - a quick remote fix for us that doesn't risk your emails.

Will rebuilding the index delete any of my emails?

No. Rebuilding the index only re-catalogues what's already there - it doesn't touch or remove a single email. An Office repair is equally safe; on Exchange, 365 or IMAP your mail lives on the server and re-syncs afterwards.

I'm on new Outlook, not classic - is this the same fix?
