Outlook Search Not Finding Old Emails
If Outlook's search only shows results from the last year, it's almost always because Outlook is keeping just the last 12 months of mail on your PC (Cached Exchange Mode). Your older emails are safe on the server — search just isn't looking there. Move the offline slider to "All", let it re-sync, and everything comes back. Rated 4.9 on Google.

Why Outlook search only shows the last year
Classic Outlook for Windows (Microsoft 365, Exchange and Outlook.com accounts) uses Cached Exchange Mode. To save space and speed things up, it keeps only a rolling window of recent mail on your computer — 12 months by default. Everything older stays safely on Microsoft's servers.
The catch: when Outlook searches in cached mode, it looks at what's cached locally. So anything older than that window may not appear in results, even though the email still exists. Nothing has been deleted — search just isn't reaching it. Two other things can also hide results: a setting that caps how many results Outlook returns (250 by default), and a search index that's fallen out of date and needs rebuilding.

The fix
How to make Outlook search find all your old emails
Work through these in order. The first step fixes it for most people:
- Widen the offline sync window. Go to File > Account Settings > Account Settings, click your email account, then Change. Find the Mail to keep offline slider and drag it fully to the right to All. Click Next, then OK, and restart Outlook. It will now download your whole mailbox — this can take a while and may use several GB, so leave it connected to finish. (The slider only appears for Exchange/Microsoft 365 accounts, not POP.)
- Stop Outlook capping results. Go to File > Options > Search and untick "Improve search speed by limiting the number of results shown", then click OK and restart Outlook. This lets every matching email appear rather than just the first 250.
- Rebuild the search index. In File > Options > Search click Indexing Options, then Advanced > Rebuild. Confirm, then leave your PC on — reindexing can take a few hours to complete in the background, and search stays patchy until it's done.
- Reach the server copy right now. Need an older email before the download finishes? Run your search, then look at the bottom of the results for "There are more items on the server. Click here to view more on Microsoft Exchange" and click it — Outlook then fetches matching mail straight from the server. You can also set the search scope to All Mailboxes (or Current Mailbox) from the search ribbon to widen where it looks.
None of these steps deletes anything or touches the copies on the server, so they're completely safe to try.

Why does Outlook only show emails from the last 12 months?
Because Cached Exchange Mode keeps only the last 12 months of mail on your PC by default. Older messages are still on the server — move the "Mail to keep offline" slider (File > Account Settings > your account > Change) to "All" and let Outlook re-sync to bring them back.
Are my old emails deleted if search can't find them?
No. In almost every case the emails are safe on Microsoft's servers; only the local copy has been trimmed to save space. Widening the offline sync, or clicking "There are more items on the server" at the bottom of your search results, will find them again — nothing is lost.
Why does Outlook search say "We're still gathering your results" or return nothing?
That usually means the Windows search index is out of date or still building. Go to File > Options > Search > Indexing Options > Advanced > Rebuild, then leave the PC on — reindexing runs in the background and can take a few hours before search is reliable again.
Will moving the slider to "All" use a lot of disk space?
It can. Outlook will download your entire mailbox to your PC, which may be several gigabytes for a large mailbox. That's normal and safe — just make sure you have free disk space and leave Outlook connected until the sync finishes.
How do I search old emails without downloading the whole mailbox?
Run your search, then click "There are more items on the server. Click here to view more on Microsoft Exchange" at the bottom of the results — Outlook fetches matching mail directly from the server. Setting the search scope to All Mailboxes helps too. For everything to be searchable offline, though, widening the "Mail to keep offline" slider is the reliable fix.
