Outlook search not returning all results?

If classic Outlook finds some emails but obviously misses others, the search is almost always being narrowed by three things: it is only looking in the current folder or mailbox, the results are capped at 250, or older mail was never kept offline to be searched. Widen the scope to All Mailboxes, confirm indexing has finished, lift the results cap and keep all mail offline. Why it happens

Why Outlook misses some search results

When classic Outlook returns some results but plainly not all of them, the mail has not gone anywhere. Something is quietly narrowing what search is allowed to show you. There are four common narrowings, and often more than one is in play at once.

First, scope. By default Outlook searches only the current folder or the current mailbox, so a message in another folder or a second account added to your profile simply never appears. Second, a results cap. To feel fast, Outlook limits results to 250 by default and quietly hides the rest. Third, indexing not finished, so items not yet catalogued are invisible to search. Fourth, in Cached Exchange Mode, only a slice of your mail may be stored on the PC, and Outlook can only search what is stored locally.

Work through the four fixes below and you remove each of those limits in turn, so search sees your whole mailbox.

How to make Outlook search return all results

Do these in classic Outlook. None of them delete any email.

  1. Set the search scope to All Mailboxes or All Outlook Items. Click into the search box so the Search tab appears, then change the scope from Current Folder to All Mailboxes (or All Outlook Items). Searching only the current folder or current mailbox is the number-one reason mail in other folders or accounts is missed. You can also change the default in File > Options > Search, under Include results only from, by choosing All mailboxes instead of the default current-mailbox setting.
  2. Confirm indexing has finished. Go to File > Options > Search > Indexing Options and check it reports 0 items remaining to be indexed. If it is still counting down, search will be incomplete until it reaches zero, so leave the PC on and Outlook open until it does.
  3. Untick the results limit. In File > Options > Search, clear the checkbox Improve search speed by limiting the number of results shown, then click OK and restart Outlook. This removes the default 250-result cap so every match is shown. Search may be slightly slower, but nothing is hidden.
  4. Include Deleted Items. By default the Deleted Items folder can be left out. In File > Options > Search, tick Include messages from the Deleted Items folder in each data file when searching in All Items, so recently deleted mail also appears in results.
  5. In Cached Exchange Mode, widen "Mail to keep offline" to All. If you use an Exchange or Microsoft 365 account in Cached Exchange Mode, only a window of recent mail may be stored locally, and Outlook can only search what is local (older items show only when you click the More link to pull them from the server). Go to File > Account Settings > Account Settings, select the account, click Change, and drag Mail to keep offline to All. Let it finish downloading, and older mail becomes searchable.

Why does Outlook only find emails in the folder I am looking at?

Because the search scope is set to the current folder or current mailbox. Classic Outlook defaults to a narrow scope, so anything in another folder or a second account added to your profile is missed. Click into the search box and change the scope to All Mailboxes or All Outlook Items. To make it stick, go to File > Options > Search and, under Include results only from, choose All mailboxes so every search is mailbox-wide from then on.

Why does Outlook stop at 250 results?

To feel fast, classic Outlook caps results at 250 by default and hides the rest. To see everything, go to File > Options > Search and untick Improve search speed by limiting the number of results shown, then click OK and restart Outlook. This lifts the cap so all matches are shown. Searches on very large mailboxes may take a little longer, but no results are held back.

How do I check that indexing has actually finished?

Go to File > Options > Search > Indexing Options. It tells you how many items are still waiting to be indexed. When it reads 0 items remaining, indexing is complete and search covers everything. If it is still counting down, results will be incomplete until it reaches zero, so leave the PC on and Outlook open until it does. If it never reaches zero, the index may need rebuilding.

I use Microsoft 365 and older emails do not appear. Why?

You are almost certainly in Cached Exchange Mode with only recent mail kept on the PC, and classic Outlook can only search mail stored locally (older matches appear only when you click the More link, which fetches them from the server). In File > Account Settings > Account Settings, select the account, click Change, and drag Mail to keep offline to All. Once it finishes downloading, your older mail is stored locally and becomes searchable. On a large mailbox this download can take a while, so let it run.

Are recently deleted emails included when I search?

Not by default. Classic Outlook usually leaves the Deleted Items folder out of search results. In File > Options > Search, tick the option to include messages from the Deleted Items folder when searching All Items, so anything you deleted recently shows up too. This is worth turning on when you are certain an email exists but it is not appearing, as it may simply have been deleted.
