Outlook shared mailbox not showing?

If a shared mailbox isn't showing in Outlook after you were given access, the usual reason is simply timing: when you're granted Full Access, Outlook is supposed to add the mailbox automatically (a feature called automapping), but it can take up to an hour to appear and it needs you to fully close and reopen Outlook first. If it still won't show after that, you can add it by hand — the steps differ slightly between classic Outlook and the new Outlook — and it's always worth double-checking that Full Access was actually granted at the mailbox. First, restart Outlook and give it time

When your administrator grants you Full Access to a shared mailbox, Microsoft 365 usually adds it to your Outlook automatically — this is automapping. The catch is that it isn't instant. Two things have to happen before the mailbox appears:

  • The change has to reach Outlook. This can take anywhere from a few minutes to about an hour after access is granted, because Outlook only picks up the new permission when it next refreshes.
  • You have to fully restart Outlook. Not just close the window — close Outlook completely, and on Windows check Task Manager to make sure it isn't still running in the background, then reopen it.

So the honest first answer is: close Outlook properly, wait a little while, and reopen it. Very often the shared mailbox is sitting in your folder list underneath your own when you come back. If it's been well over an hour and a couple of restarts, move on to adding it manually below.

Classic Outlook

Add the shared mailbox by hand in classic Outlook

If automapping hasn't delivered it, you can add the mailbox manually in classic Outlook:

  1. Go to File > Account Settings > Account Settings.
  2. On the Email tab, click your Microsoft 365 / Exchange account once to highlight it, then click Change.
  3. Click More Settings, then open the Advanced tab.
  4. Under Open these additional mailboxes, click Add, type the shared mailbox's name or address, and click OK.
  5. Click Apply / OK, then Next and Finish, and restart Outlook.

The shared mailbox then appears as its own heading in your folder list, below your personal mailbox. Note: if automapping later adds the same mailbox too, you can end up with it listed twice — harmless, but if it clutters your view we can tidy it up.

New Outlook & mobile

Add it in the new Outlook or the Outlook app

New Outlook (Windows). The new Outlook doesn't use the classic More Settings screen. Instead you add the shared mailbox from the Shared with me area: click Settings (the cog) > Accounts > Shared with me, then click Add (or + Add shared folder or mailbox), type the shared mailbox address and add it. It then shows as its own folder tree under Shared with me in the left-hand list. (You can also right-click your account name in the folder pane and choose Add shared folder or mailbox.) The new Outlook supports automapping too, so it may well appear on its own after a restart.

Outlook on Android. On the Outlook mobile app, open the left-hand navigation, tap Add Account (the mail-with-plus icon at the bottom of your account list) and choose Add a Shared Mailbox, then type the shared mailbox address. As with the desktop, the Full Access permission has to be in place first. If the shared mailbox won't add, that points back to the permission not being granted yet — which is the next thing to check.

If it still won't show

Confirm Full Access was really granted

If you've restarted, waited an hour and tried adding it manually, and the mailbox still won't appear — or you can add it but see an error opening it — the likeliest reason is that the permission isn't actually in place. A couple of things trip people up:

  • You were given the wrong permission. To see a shared mailbox in your folder list you need Full Access ("Read and manage"). Send As or Send on Behalf alone let you send from the mailbox but do not make it show up.
  • Automapping was switched off. If the admin granted access via PowerShell with automapping disabled (AutoMapping $false), the mailbox will never appear on its own — you have to add it manually using the steps above.
