Outlook stuck in the Outbox and won't send

Nine times out of ten, a message stuck in your Outbox is a large attachment (over about 25MB) jamming the whole queue. The fix is to go offline, move that message to Drafts, strip out the big file (send a OneDrive link instead), then run Send/Receive. Here's exactly how, step by step, for classic Outlook. Why it happens

Why one message jams your whole Outbox

Classic Outlook sends messages in order. If the one at the front of the queue can't go, everything behind it waits too, which is why a single stuck email stops all your other mail from leaving.

  • A large attachment. Most mailboxes cap attachments at around 25MB. A big photo batch, a video, or a hefty PDF can sit trying (and failing) to upload forever.
  • A dropped connection. If your internet blipped mid-send, Outlook may keep retrying a half-sent message.
  • Work Offline is switched on. Easy to hit by accident. Nothing sends until you turn it back off.
  • A corrupt item. Occasionally the message itself is damaged and won't send however many times you try.

The fix

Clear the stuck message, step by step

These steps are for classic Outlook, which has the Outbox folder and the Send / Receive tab. Take it in order.

  1. Go offline first. On the Send / Receive tab, click Work Offline so it's highlighted. This stops Outlook endlessly retrying while you sort it out.
  2. Open the Outbox in the folder list on the left and find the stuck message.
  3. Drag it into Drafts. This gets it out of the send queue so you can edit it safely.
  4. Open the message from Drafts and remove the big attachment (click it, press Delete). Instead, upload the file to OneDrive or SharePoint and paste a share link into the email, so it sends in seconds no matter how large the file is.
  5. Turn Work Offline back off (click the same button so it's no longer highlighted), then click Send/Receive All Folders. Your queue should clear.

If it still won't clear: the item may be corrupt. Delete it from Drafts, close Outlook fully (if it won't close, end the outlook.exe task in Task Manager, then reopen), and compose the email fresh. Your other queued mail will then go straight out. Nothing here deletes received email, it only touches the one message you're editing.

Using the new Outlook instead? The new Outlook has no Send / Receive tab, no Work Offline button and no traditional Outbox, so this exact route doesn't apply. There, a stuck message usually sits in Drafts (sometimes showing as "queued"). Open it from Drafts, remove the oversized attachment, paste a OneDrive link, wait a few seconds after clicking Send so it isn't archived before it leaves, then check your connection. Why is my Outlook email stuck in the Outbox?

Almost always a large attachment (over roughly 25MB) that can't upload, so it blocks every message behind it. A dropped internet connection or Work Offline being switched on can also cause it. In classic Outlook, go offline, move the message to Drafts, remove the big file, then run Send/Receive.

How do I send a large file if Outlook won't let me attach it?

Upload the file to OneDrive or SharePoint, then paste a share link into your email instead of attaching the file itself. The email sends instantly and the recipient clicks the link to download. Most mailboxes reject attachments over about 25MB, so this is the reliable route for big files, videos or photo batches.

Why can I receive emails but not send them from Outlook?

Will I lose my emails if I move the message to Drafts?

No. Moving the stuck message to Drafts and removing an attachment only affects that one email you're editing. Your inbox and received mail are untouched. Even deleting the corrupt draft and starting again is safe.

There's no Outbox or Work Offline button in my Outlook. Why?

You're on the new Outlook for Windows, which doesn't have the Send / Receive tab, the Work Offline button or a traditional Outbox. A message that won't send usually sits in Drafts (sometimes marked "queued"). Open it from Drafts, remove any large attachment, paste a OneDrive link, and give it a few seconds to send before doing anything else.
