/01 — QUICK ANSWER

The short answer: it’s the new Outlook

If Sage 50 has suddenly stopped emailing invoices through Outlook, the usual culprit is the ‘new Outlook’ taking over from classic Outlook. Sage 50 sends mail by handing the invoice to Outlook through a built-in Microsoft component called MAPI — and the new Outlook simply doesn’t include MAPI, so nothing happens (or you get a MAPI error) when you click email.

The quick fix is to switch Outlook back to the classic version, make sure Windows still treats classic Outlook as your default email app, and point Sage’s email settings at Microsoft Outlook. We’ll walk through each step below in plain English.

This almost always follows an Office update or a new PC, where Microsoft flips the new Outlook on by default. If you’d rather not touch it yourself, our Bournemouth team fixes this remotely — usually the same day — so your invoices go back out today. Call us on 01202 775566.

Will I lose my emails? No — classic and new Outlook share the same mailbox, so your emails, calendar and contacts all stay put.
Can it be fixed remotely?Yes — a short remote session from our Bournemouth team, usually the same day, no fix, no fee.
Fix without Outlook?Yes — set Sage’s Email Defaults to Webmail (SMTP) so invoices send directly, with no dependence on Outlook.
Is the fix permanent? It works today, but Microsoft plans to retire classic Outlook eventually — webmail (SMTP) is the more durable route.

/02 — WHY IT BROKE

Why Sage 50 stopped emailing through Outlook

For years, Sage 50 Accounts has emailed invoices, statements and remittances by quietly passing the document to your installed email program. On Windows that program is classic Outlook, and the hand-over uses a Microsoft standard called MAPI (Messaging Application Programming Interface). When it works, clicking ‘email’ in Sage pops a ready-made message in Outlook with the PDF attached.

The problem is the new Outlook — the redesigned, web-style app Microsoft has been rolling out to replace the classic desktop version. The new Outlook doesn’t include the MAPI component, so Sage has nothing to hand the invoice to. Depending on your version you’ll either see a MAPI error, a ‘no default email program’ message, or simply nothing at all when you click email.

This is why it feels like it broke overnight. A Windows or Microsoft 365 update, or a brand-new PC, can switch the new Outlook on automatically — and the moment it becomes your default mail app, Sage loses its route out. Nothing is broken inside Sage itself; the link between Sage and Outlook has simply been cut. It’s the same root cause behind a lot of the recent Outlook problems people are seeing in 2026.

/03 — THE FIX

The fix: put classic Outlook back in charge

The reliable fix is to put classic Outlook back in charge. Do these three things in order.

1. Turn off the new Outlook. Open Outlook and look for a New Outlook toggle in the top-right corner. Switch it off — the app will close and reopen as classic Outlook, and the switch should now read ‘Try the new Outlook’. Leave it off. Our step-by-step guide to going back to classic Outlook has more detail if you need it.

2. Set classic Outlook as your default email app. On Windows 10 this lives under Settings > Apps > Default apps > Email. On Windows 11 it moved, so search ‘Default apps’ from the Start menu, or use Control Panel > Default Programs, and make sure the app that handles email is Outlook (classic) — not Mail, not the new Outlook. This is the setting Sage checks when it looks for a mail program.

3. Point Sage at Outlook. In Sage 50 Accounts, click Settings, then Email Defaults, and in the Email Program drop-down choose Microsoft Outlook. Click OK, close Sage and Outlook fully, then reopen both.

Now send yourself a test invoice. It should hand over to classic Outlook with the PDF attached. If it does, you’re done — and it’ll keep working as long as the new Outlook stays switched off.

/04 — IF IT STILL WON’T SEND

If invoices still won’t send

If invoices still won’t send after switching back to classic Outlook, work through these.

  • The default app didn’t stick. Windows updates sometimes reset the default mail app back to the new Outlook. Re-open your default-apps settings (Settings > Apps > Default apps on Windows 10, or Control Panel > Default Programs on Windows 11) and set it back to Outlook (classic).
  • Outlook isn’t fully signed in. If Outlook is asking for a password or sitting on a sign-in screen, Sage can’t use it. Get Outlook opening cleanly to the inbox first.
  • Office ‘bitness’. Sage 50 has always relied on the 32-bit MAPI component. In the past a 64-bit-only Office could cause trouble, though on most modern set-ups the new-Outlook issue is the real cause, not bitness. If in doubt, an Office repair or reinstall settles it — something we’d normally check for you rather than have you guess.

The Outlook-free alternative: Sage can also send invoices directly using Webmail (SMTP), bypassing Outlook entirely. In Settings > Email Defaults, change the Email Program to Webmail, pick your provider (such as Microsoft 365 or Gmail) and enter the details. This is often the cleaner long-term answer if the office is drifting towards the web-based new Outlook anyway. It’s the same principle we use when Sage won’t print to PDF — give Sage a route that doesn’t depend on a fragile third-party hand-over.

/05 — HONEST CAVEATS

Honest caveats — and the durable fix

A couple of honest caveats, because this area is changing.

First, webmail (SMTP) needs modern authentication. Microsoft and Google have retired the old ‘basic’ password sign-in for sending mail, so a plain mailbox password often won’t work — you may need to sign in with a modern-authentication prompt or, in some cases, an app-specific password. Recent Sage 50 versions handle this, but an older version may need updating first. We can tell you in minutes whether your version is current.

Second, the new Outlook is Microsoft’s direction of travel. Classic Outlook still works today and is the right fix now, but Microsoft has signalled it will eventually be retired. That’s exactly why we often steer accounts teams towards the webmail (SMTP) route, or a proper review of how invoices leave the building — so a future Windows update doesn’t stop your billing again. We’d rather set it up once, honestly, than keep patching it.

Finally, if you run Sage across more than one PC and only some machines can email, the fault is usually local to each machine’s Outlook — not the company data. That’s a different issue from Sage 50 multi-user not connecting, which is about the shared data folder rather than email.

/06 — HOW WE HELP

Prefer we just sort it? How we help

If you’d rather just get invoices going out again, this is a quick job for us. It’s a common call — especially from accountants, bookkeepers and small businesses across Bournemouth, Poole, Christchurch and Dorset — and we fix it remotely, usually the same day, without anyone coming to your office.

On a short remote session we’ll confirm whether the new Outlook is the cause, switch you back to classic Outlook, set the Windows default mail app, check your Sage Email Defaults, and send a test invoice while you watch. If webmail (SMTP) is the better long-term fit for you, we’ll set that up and check your Sage version supports modern authentication. You’ll see exactly what we change.

// GOOD QUESTIONS

Frequently asked

Why did Sage 50 suddenly stop emailing invoices through Outlook?

— Almost always because the ‘new Outlook’ has taken over from classic Outlook, often after a Windows or Microsoft 365 update or on a new PC. The new Outlook doesn’t include the MAPI component Sage uses to hand over invoices, so clicking email does nothing or throws a MAPI error. Switching back to classic Outlook restores the link.

How do I switch back to classic Outlook?

— Open Outlook and click the New Outlook toggle in the top-right corner to switch it off; it reopens as classic Outlook. Then set Outlook (classic) as your default email app — on Windows 10 under Settings > Apps > Default apps, or on Windows 11 via Control Panel > Default Programs. Our classic Outlook guide walks through it in more detail.

Does Sage 50 need the 32-bit version of Office?

— Sage 50 relies on the 32-bit MAPI component, and historically a 64-bit-only Office could cause email trouble. On most 2026 set-ups, though, the real cause is the new Outlook rather than bitness. If a repair or reinstall is genuinely needed we’ll confirm it first — there’s no need to reinstall Office on a guess.

Can I email invoices from Sage 50 without Outlook at all?

— Yes. In Settings > Email Defaults, change the Email Program to Webmail, choose your provider (such as Microsoft 365 or Gmail) and enter the details. Sage then sends invoices directly by SMTP, with no dependence on Outlook. It’s often the cleaner long-term choice if your team is moving to the web-based new Outlook.

Why do I get a MAPI error or a ‘no default email program’ message?

— Both mean Sage can’t find a usable desktop mail program to hand the invoice to — usually because the new Outlook (which has no MAPI) is your default, or Outlook isn’t signed in. Set classic Outlook as your default email app and make sure it opens cleanly to your inbox, then try again.

Will switching back to classic Outlook lose my emails or settings?

— No. Classic and new Outlook use the same mailbox and the same account, so your emails, calendar and contacts are all still there — you’re only changing which app opens. You can switch back and forth safely. For Sage, classic Outlook is simply the version that still supports the MAPI hand-over.

Can you just fix this for me?

— Yes — it’s a quick, common job we handle remotely, usually the same day. We’ll switch you back to classic Outlook (or set up webmail), sort the Windows default app, check your Sage Email Defaults and send a test invoice while you watch. Call 01202 775566 or text 07520 615332. No fix, no fee.

Is switching back to classic Outlook a permanent fix?

— It’s the right fix today, but we’ll be honest: Microsoft plans to retire classic Outlook eventually, and a future update could switch the new Outlook back on. For a durable answer we often set Sage up to send by webmail (SMTP) instead, so your invoicing doesn’t depend on which Outlook is installed. We’ll advise what suits you.
